CrewCenter User Guide: How Timezones Work

CrewCenter supports different timezone scenarios to help teams work efficiently across regions. Here’s what you need to know:

1. Supported Timezone Scenarios

Everything in One Timezone

  • Tenant, Project, and Users are all set to the same timezone.

  • Example: All entities use “Europe/Berlin.”

  • Behavior: No timezone confusion. All times are consistent across the system.

Users Operating in Different Timezones

  • Tenant and Project are in one timezone (e.g., Bucharest).

  • User is in a different timezone (e.g., Berlin).

  • Behavior: CrewCenter displays indicators and handles time conversions to help users avoid mistakes.

2. Key Flows & What to Expect

Live Clock-In (Mobile)

  • If your timezone differs from the project/tenant:

    • Indicator appears: 

      This means the project is in a different timezone (here, Bucharest, GMT+2), and your local time is 1 hour behind.

    • Tenant & Project Timezone: Bucharest (GMT+2)

    • User Timezone: Berlin (GMT+1)

    • Clock-in:

      • User clocks in at 16:22 (Berlin time).

      • Project records 17:22 (Bucharest time)

Editing Time Entries (Mobile & Web)

  • If you are in a different timezone:

    • Indicator appears: You must enter time in the project’s timezone.

    • Common issue: If you enter your local time, the system interprets it as project time, which may block your entry (e.g., entering a future time by mistake).

  • If you are in the same timezone as the tenant/project:

    • No indicator: Enter time as usual.

Viewing Time Entries (Mobile & Web)

  • Your time entries are displayed in the project’s timezone.

  • No confusion: What you see matches the project’s official time.

3. Post Mode – Creating a Timecard

Adding a Timecard (Mobile & Web)

  • If your timezone differs from the project:

    • Indicator appears: Reminder to enter time in the project’s timezone.

    • Potential issue: Entering your local time may result in errors (e.g., forbidden future time).

Viewing/Editing Timecards

  • Same behavior as live mode: Always check the timezone indicator and enter times accordingly.

4. Tips & Best Practices

  • Always check for timezone indicators when clocking in or editing time

  • Enter your time in the project’s timezone only

  • Supervisors: Remind your team to pay attention to timezone warnings, especially when working across regions
