How to Use Bulk Operations in CrewCenter

Overview

This article explains how to use bulk operations in CrewCenter to save time when managing work time and absences. You’ll learn:

  • How to create time cards in bulk on Web (multiple employees and days)

  • How to create absences in bulk on Web

  • How to bulk approve the timesheet

  • How to create bulk absences on Mobile 

1. Bulk Operations on Web (Timesheets)

On Web, you can create multiple time cards at once for:

  • One or more employees

  • One or more days

You can do this for:

  • Work periods (working time)

  • Absences (full day or part day)

1.1 Bulk Create Work Periods (Web)

Use this when you want to add the same work pattern for several people and days.

  1. Open CrewCenter Web and navigate to Timesheets

  2. Use the Employee selection (checkboxes) to select:

    1. One employee, or

    2. Multiple employees.

3. Click on '+ Add time entry' and select the day(s) you want to add time for and Add work time details- 

4. Click on Report

Result:
CrewCenter creates one time card per selected employee and per selected day with the same configuration.

Note:
If the operation would create more than 50 time cards, a warning is shown with a short waiting period to avoid accidental mass creation

1.2 Bulk Create Absences (Web)

Use this when:

  • A group of employees is off for the same day(s) (e.g., public holiday, training), or

  • One employee has a longer absence across multiple days (e.g., vacation).

  1. Open CrewCenter Web and navigate to Timesheets

  2. Use the Employee selection (checkboxes) to select:

    1. One employee, or

    2. Multiple employees.

  3. Click on '+ Add time entry' and select the day(s) you want to add absence for and select type of Absence :

  4. Click on Report to confirm.

Important Notes:

  • Absences cannot overlap with existing work or other absences without conflict handling (conflicts will be shown, and you can usually choose to overwrite or cancel).

1.2 Bulk Approve Timesheet  (Web)

Use this when you want to Approve timesheet in bulk :

  1. Open CrewCenter Web and navigate to Timesheets.
  2. Use the Employee selection (checkboxes) to select:

    1. One employee, or

    2. Multiple employees.

  3. Click On Approve to approve the timesheet of selected employees.

2. Bulk Operations on Mobile

On Mobile, bulk operations focus on absences. You can create:

  • Absences for multiple employees on one or several days.

  • Absences for one employee across multiple days.

These flows are available from the Crew and Timesheets tabs.

2.1 Bulk Operation from Crew Tab (Multiple Employees)

On Mobile, bulk operations can be used to:

  • Add time (work) for multiple workers at once
  • Add absences
  1. Log in to the CrewCenter Mobile app as Admin or Supervisor.

  2. Navigate to the Crew tab and select Employees.

   3. Click on Green icon '+' 

4. Add Time Card details and click on Add Time Entry

5. To Add bulk absences, navigate to Absence tab and Report absence. An absence is created for each selected employee and each selected day in the chosen date range.

2.2 Bulk Operation from Timesheets Tab

Use this when to approve multiple employees timecards:

  1. Login as Admin or Supervisor.

  2. Navigate to Timesheets tab and select Employees.

3. Click on Approve button to approve the time card of Employees.

 

Result:
Multiple absences are created in one go for that employee, one per day in the date range.

4. Troubleshooting

  • Bulk options not visible on Web

    • Check that you have a Supervisor or Admin role.

    • Make sure you are on the Timesheets screen and have selected multiple employees/days.

  • Cannot choose Absence in bulk on Mobile

    • Absence reporting may be disabled for your tenant.

  • Bulk create leads to errors or missing entries

    • Review conflict messages for overlapping time or absence entries.

    • Re-run the bulk operation with fewer days/employees if needed.
