This article introduces how to use the CrewCenter Mobile App for real-time time tracking in LIVE Mode. It covers clocking in, managing breaks, adding comments or special time, and project assignment logic. Understanding these features helps ensure accurate work hour tracking and compliance with project assignments.
LIVE Mode Time Tracking Basics
LIVE Mode in the CrewCenter Mobile App allows users to track work hours in real time. All actions - clocking in, breaks, comments, and special conditions - are recorded instantly for accurate timesheets.
Project Assignment and Visibility
Project visibility and assignment in CrewCenter Mobile (Android & iOS) depend on user roles and project settings. Understanding these rules helps ensure that employees, supervisors, and admins have the correct access to projects and know what to expect when assignments are updated.
Employees and Supervisors only see projects assigned to them in the project dropdown on Mobile (Android & iOS) in LIVE and POST mode.
Admins see all projects.
Projects created via import are assigned to all users by default.
If a project is removed from a user but is still selected in LIVE mode, the user can still clock in with that project.
When a new employee is created, they are automatically assigned to all projects marked as “assigned to all employees.”
When a supervisor clocks in their crew, they see only their assigned projects, but can clock in any team member - even if that employee is not assigned to that specific project.

Clock In Process
For Employees
Open the CrewCenter Mobile App.
Select a project from the assigned list.
Tap the Clock in button in the center of the screen. Time tracking starts immediately.
Note: Live Tracking is blocked if the current day is already approved for the user.
For Supervisors and Admins
Open the CrewCenter Mobile App.
Select a project.
Tap the Clock in button.

Select the entire crew or specific team members
Tap Clock in at the bottom of the screen to start tracking for selected crew members.
Additional information
CrewCenter streamlines the clock-in process for Admins and Supervisors managing multiple employees. Bulk actions, such as breaks and special conditions, are designed to apply efficiently to groups of workers while still allowing individual employees to manage their own time entries.
The Admin or Supervisor performing the clock-in is always preselected.
All subsequent actions (breaks, comments, special conditions) apply to all selected workers.
The app automatically reuses the previous employee selection for the next clock-in.
If an employee is already on break , bulk actions by Supervisor/Admin will skip the state.
If an employee is on special condition, bulk actions by Supervisor/Admin will end this state .
If a Supervisor/Admin clocks in for an employee, the employee can still manage their own breaks, special conditions, and clock out.
Managing Breaks
Tap Start break to begin a break (only available when clocked in).
Tap Resume work to end the break.
Notes:
Breaks started by Supervisors/Admins for the crew will skip employees already on break.
If a Supervisor/Admin ends a break for the crew, it will also end breaks for employees already on break.
Adding Comments

Tap the Comment icon in the top right to add a comment.
Tap Confirm to save the comment
Note: only one comment can be saved in one entry
Adding Special Conditions
Tap Add special time in the middle of the screen.
Select from options like “On-call duty,” “Bad weather,” or “Driving.”
End a special condition by tapping the “x” next to the displayed condition.
Clock Out Process
Slide the Clock out button to the right to end the work session.
Additional information:
To change projects, clock out first, select a new project, and clock in again.
Time entries or breaks under one minute are not recorded.
Important: Users are automatically clocked out at 23:59 if they forget; the app will prompt for time entry correction next time.
Role Changes and Project Access
When a user's role changes, their access to projects may also change. This ensures that only authorized users can view and manage specific projects.
If a user is promoted to Admin, they are assigned to all projects.
If demoted to Supervisor or Employee, they only see projects assigned to “all employees.”
Role changes between Employee and Supervisor retain existing project assignments.
Admins and Supervisors can always see all projects their workers have clocked into when viewing timecards.
