How to assign employees to projects

Overview

This article explains how supervisors and admins can assign employees to projects in CrewCenter using the Web interface. Assigning employees ensures that users only see relevant projects in CrewCenter, improving efficiency and reducing errors. 

Note

By default, all employees are assigned to all projects. Admins always see all projects.

Assigning Employees When Creating a New Project

  1. Open the Projects page in the Web application.

  2. Click Create to start a new project.

  3. Fill in the mandatory fields:

    • Project Name

    • Project Number

  4. Scroll to the Assigned Employees section.

  5. Choose how to assign employees:

    • Option A — Assign all employees: Turn the Assign all employees toggle ON. All employees will be assigned automatically.

    • Option B — Assign selected employees only: Turn the toggle OFF. Manually select the employees you want to assign to the project. You can search by name or ID.

Assigning Employees to an Existing Project

  1. Open the Projects page in the Web application.

  2. Find the project you want to edit using the list or search bar.

  3. Click Edit to open the project details.

  4. Update the required details, such as Project Name, Project Number, or Assigned Employees.

  5. Scroll to the Assigned Employees section.

  6. Choose how to assign employees:

    • Option A — Assign all employees: Turn the Assign all employees toggle ON to automatically assign all employees.

    • Option B — Assign selected employees only: Turn the toggle OFF, then manually select or unassign employees as needed.

  7. Click Save to update the project with the new employee assignments.

Who Can Assign Employees to Projects

  • Supervisors and admins can assign employees to projects individually or in bulk via the Web interface.

  • Only assigned projects are visible to the logged-in user, reducing confusion and mistakes.

  • Admins always see all projects by default (checkbox disabled).

Additional Rules and Permissions

  • Demoted admins become regular users and only see projects assigned to "all employees." Promoted users (to admin) see all projects. Employee ↔︎ Supervisor role changes keep current assignments.

  • Projects created on mobile or via import are automatically assigned to all employees.

  • Archived or deleted users are not shown in the assignment dropdown.

  • When a supervisor clocks in their crew, they will see only the projects assigned to them, but they can clock in any team member - even if that employee is not assigned to that specific project
