How to Use the Photo Library in CrewCenter

Overview

Roles: Admin, Supervisor | Interface: Web

The Photo Library in CrewCenter Web is a central hub for Admins and Supervisors to manage, review and organize all project-related photos. This feature supports documentation, compliance and reporting by providing easy access to images uploaded from both the field and the office.

Note: Access to the Photo Library is controlled by a setting for each customer account and can be enabled by the support team. If you don’t see the Photo Library, please contact your sales representative to confirm that it is enabled for your account.

 

Photo Library Features and Purpose

The Photo Library allows Admins and Supervisors to:

  • View all photos uploaded from mobile or web
  • View images organized by days and for all or specific
  • Open larger previews and browse through images
  • Correct the assigned project and date of a photo
  • Delete photos that are no longer needed

Photos are used for documenting progress, recording incidents or defects and supporting construction diaries and project reports.

 

Integration with Other Modules 

Construction Diary: Photos become part of daily work context and can be included in reports.

Project Dashboard - Photos section: Displays all available pictures for the selected project and timeframe.

Reporting & Compliance: The Photo Library serves as a searchable archive for progress reviews, incident documentation and legal requirements.

 

Offline Behavior

The web Photo Library requires an online connection. Mobile uploads appear after successful upload to CrewCenter. To make sure the photos are uploaded and visible in the library, follow the instructions below:

  1. Always ensure you have a stable internet connection when using the web Photo Library for uploads or management. We also recommend opening the app daily and synchronizing the data to keep everything up to date.
  2. On mobile, take advantage of offline queuing if you are working in areas with limited connectivity. Remember to open the app when back online to sync your uploads. 

  3. Add contextual information (project, timecard, notes) to images whenever possible to improve documentation quality.

  4. Regularly check that your offline uploads have synced after regaining connectivity.

 

Sources of Photos in CrewCenter

Photos are uploaded by users from various locations: 

Mobile (Android & iOS):

Roles: Admin, Supervisor, Employee | Interface: Mobile

  1. From the LIVE tracking screen during work events

 

 

 

2. From the day view in the Timesheets page, where you open your timesheet and select a specific day.

 

 

3. From the Photo Library entry in the mobile menu

 

 

For Web

Roles: Admin, Supervisor | Interface: Web

  1. Through web-based photo upload (where enabled)

 

2. Via modules such as Construction Diary 

 

 

3. Via Project Dashboard – Photos section

 

 

Each photo is stored with its date, project, and additional metadata, which determines how it appears in the Photo Library and reports.

 

Accessing the Photo Library

Roles: Admin, Supervisor | Interface: Web

 

  1. Open the Photo Library from the left navigation. 

  2. The Photo Library displays a grid of photo thumbnails for all available images.

Features include:

  • Thumbnails for fast loading and improved performance
  • Sorting by date, with the newest images first
  • Viewing photos for one specific project or all projects in the right top corner dropdown

     

Browsing and Previewing Photos

 

  1. Open the Photos

  2. Click a thumbnail to open the detail view.

  3. The detail view shows the full image, assigned date and project.

  4. Use arrows on your keyboard or swipe to move to the next or previous image.

     

Editing Photo Details (Date and Project)

If a photo was uploaded under the wrong project or date:

  1. Open Photos.

  2. Make sure you can see “All projects” in the top-right corner or navigate to the project that contains the image with incorrect data.

  3. Click the thumbnail of the image to open its detailed view.

  4. In the detailed view, click the pen icon beneath the main image to enter Edit mode.
     
 

5. Click the date field to open the date picker or use the left and right arrows to select the correct date.

6. Update the project name if needed.

7. Click Update to save your changes.

Note: Changes are saved immediately and reflected across the Photo Library, Project Dashboard and other modules. Analytics events are sent when date or project is changed.

 

Deleting Photos 

To delete a photo (reference to the screenshot under "editing photo details" section):

  1. Open Photos.

  2. Click the thumbnail of the image to open its detailed view.

  3. In the detailed view, click the Delete button beneath the main image. 

    4. Confirm deletion in the pop-up window.

Deleted photos are removed from the Photo Library, Project Dashboard and Construction Diary. Deletion is final from the UI.

 

Important Notes and Limitations

Access & Roles
The Photo Library is designed for Admins and Supervisors. Workers upload photos via mobile but do not manage the library on web.

System based "photos" feature activation
Access to the Photo Library is controlled by a setting for each customer account and can be enabled by the support team. If you don’t see the Photo Library, please contact your sales representative to confirm that it is enabled for your account.

Performance
For faster browsing, the Photo Library pre-loads only reduced size thumbnail versions of your images in the grid view. When you click a thumbnail, the full‑resolution image will open in the detail view.

 

Troubleshooting

You cannot see Photo section

Contact your Project Manager or Administrator to check if your account has access to Photo Library

The Photo is missing

Check the upload status: 

When you added the picture, did you have an active and stable internet connection? Make sure the upload completed successfully and that the image appears in the Photo Library. 

If the picture does not appear in the gallery after uploading, try reconnecting to the internet and upload it again. 

Clear your app’s cache or refresh the page to ensure you’re viewing the latest data.

If the issue persists after retrying, please contact the support team for assistance.

Project selection: Make sure you chose the correct project in the top right dropdown or switch to “All Projects” to ensure the photo isn’t hidden due to the selected project.

Photo's details are incorrect

To correct a photo’s project or date, open the detail view. For step-by-step instructions, see the section Editing Photo Details (Date and Project)
