Introduction to Breaks

Overview

Roles: Admin, Supervisor, Employee | Interface: Android, iOS, Web

Breaks are designated times within a shift when employees are allowed to rest or take care of personal needs without performing work tasks. In CrewCenter, breaks can be tracked and managed to help supervisors and administrators monitor compliance with company policies and legal requirements. Breaks may be paid or unpaid, depending on company rules and local labor laws.

 

How to begin, resume and end Breaks

Tap Start break to begin a break (only available when clocked in).

 

Tap Resume work to end the break.

Skip Logic
Breaks started by Supervisors/Admins for the crew will skip employees already on break.

Break End
If a Supervisor/Admin ends a break for the crew, it will also end breaks for employees already on break.

Automation Benefit
The Pre-set Breaks feature in CrewCenter allows to automate the recording of regular breaks on timecards. This helps ensure accurate and consistent break tracking without manual entry. Pre-set Breaks are only available on Android and iOS apps.

 

What Are Pre-set Breaks?

Pre-set Breaks are scheduled breaks that are automatically added to your timecards. This feature removes the need to manually enter break times, reducing errors and saving time for all users.

 

Who Can Use Pre-set Breaks?

Admins: Can activate and configure the feature for the organization using the Web interface.

Supervisors and Employees: Can activate their own personal pre-set breaks using the mobile app (Android or iOS).

 

How to Activate Pre-set Breaks 

Role: Admin | Interface: Web

  1. Log in to CrewCenter on the Web.

  2. Go to Settings on the top right corner

  3. Go to Automation and find the Pre-set Breaks option. 

  4. Activate the feature by toggling the switch.

 

Company vs. Personal Pre-set Breaks

Users can choose between company, personal, or disabling pre-set breaks.

Company pre-set breaks

Available only if the Admin has configured company-wide breaks in the Web interface. These breaks are automatically applied to all users who select this option.

 

Personally defined 

Break Flexibility
CrewCenter lets users create their own pre-set breaks if the company schedule does not fit their needs. This makes it easy for employees to choose break times that work best for them, while still keeping time tracking accurate. 

Break Setup
Each user can add one or more breaks by setting the start and end time and selecting the days for each break.

User Visibility
Personally defined breaks are only visible and applied to the individual user who created them.

Automatic Addition
These breaks are automatically added to the user’s timecards for the selected days.

Validation
Validation ensures that personally defined breaks do not overlap with other time entries or breaks.

Edit Options
Users can update or remove their personal breaks at any time in the app.

 

Disable Pre-set Breaks:

Users can choose to turn off Pre-set Breaks entirely and set them as "Inactive" if they do not want any breaks to be automatically added to their timecards.

 

How to Activate Personal Pre-set Breaks

Roles: Admin, Supervisor, Employee | Interface: Android, iOS

  1. Open the CrewCenter app on your mobile device.

  2. Tap your profile icon in the top left corner. 

  3. Select Pre-set Breaks

  4. Tap Personally defined

  5. Add one or more breaks:

    • Set the start and end time for each break.

    • Choose the days for each break.

  6. Tap Update to save your changes.

Your defined breaks will now be automatically added to your timecards for the selected days.

 

How to Activate Company Pre-set Breaks

Roles: Admin, Supervisor, Employee | Interface: Android, iOS

  1. Open the CrewCenter app on your mobile device.

  2. Tap your profile icon in the top left corner.

  3. Select Pre-set Breaks.

  4. Tap Company pre-sets.

  5. Tap Update to save your changes.
     

Note: The user can select Company Pre-set Breaks only if these breaks have been configured in advance by the Admin. 

 

How Pre-set Breaks Work with Timesheets 

Integration
Pre-set Breaks are incorporated directly into daily timecards, reducing manual entry and errors.

Automation
When enabled, breaks appear automatically for the selected days and times, based on user or company settings.

Validation
Pre-set Breaks are validated to prevent overlap with custom time entries or manually created breaks.

Deletion
If a timecard is deleted, the break data is also removed, but deleted timecards can be reviewed on Android devices.

Modes
Pre-set Breaks can be inserted in both POST mode (after the fact) and LIVE mode (upon clock-out)

 

Interaction with Absences 

Absence Separation
Absences and Pre-set Breaks are managed separately.

Full-Day Absence
If a full-day absence is recorded, Pre-set Breaks do not apply for that day.

Unpaid Absence
Unpaid absences have no effect on work time or overtime calculations.

Multi-Day Handling
Multiple-day absences that include locked days are handled without unnecessary conflict dialogs, unless data might be overwritten.

 

Integration with Working Schedules 

Schedule Alignment
Pre-set Breaks align with assigned working schedules and annual schedules.

Annual Import 
When annual schedules are imported and assigned, Pre-set Breaks are applied according to the defined workdays and hours.

Overtime Calculation
Overtime calculations are based on actual work time, excluding Pre-set Breaks and unpaid absences.

Deviation Logging
Any deviation from the working schedule, such as overtime or absence, is logged and can be corrected or overwritten as needed.

 

Automation, Validation, and Limitations 

Automation
Pre-set Breaks are part of CrewCenter’s automation features, reducing manual work for crews and supervisors.

Offline Support
Breaks are added even when users are offline; synchronization occurs when the device reconnects.

Validation
Validation ensures that Pre-set Breaks do not overlap with custom time entries or other breaks.

Disable Option
Users can disable Pre-set Breaks if needed.

Platform Availability
Currently, Pre-set Breaks are available only on Android and iOS apps.

Change Notification
Any changes to company-defined breaks are highlighted in the app settings with a red dot.

Clock-In Flexibility
When company pre-set breaks are configured, users are still allowed to clock in during those periods.
