How To Export Timesheets from CrewCenter Web

Overview

Exporting timesheets and absence data in CrewCenter Web enables you to transfer approved working time and absences into payroll, ERP, and reporting systems. CrewCenter supports both human-readable Excel reports and machine-readable ERP/CSV formats.


Note: Export files may contain personal data. Handle them according to your company’s data-protection requirements.

Opening the Export Panel

  • Go to the Timesheets page in CrewCenter Web.

  • Select Export in the top-right corner.

Choosing an Export Template

The export panel will open, and by clicking on Export templates you can see available export templates.

CrewCenter offers several export templates:

  • BRZ export template (BRZ File)

  • Employee time sheets (Excel file)

  • CrewCenter standard export (Excel file)

  • MOS’aik (Moser Software GmbH)

  • Raw data export (CSV)

Tip: Use an Excel template for readable reports. Use ERP or raw data exports when importing data into another system.

Once you are in the “Export” menu, you can choose All employees / [X] employees (where X is a number of chosen employees)



In the employee selection screen, you have the following options:

  1. Select / Deselect all
    Following icons apply:
    •  All employees are selected
    • Partliel selection of employees
    • No employees are selected
  2. Select only certain employees
     


Additionally, you have the possibility to review the selected employees in a separate view.
 


Sorting options: Sort by employee or by supervisor, in ascending or descending order.
 


To complete the selection, please click Update, or to cance the selection, click Cancel.
 


Selecting the Export Time Frame

(the same process applies to all templates)

To define the period for your export, open the Export time frame drop‑down menu.
 

 

The following options are available:

  • Last week
  • Custom range
  • Month

Please note: the previous full month is selected by default:

Using a Custom Range

When Custom range is selected, additional fields become available:

  • Start date
  • End date

Enter the desired dates to generate an export for a specific time period.

Employee timesheets template

Employees: Select one, multiple, or all employees. For Employee time sheets, you can include several employees in one file (up to 500).

Time period: Use presets such as last week or last month, or select a custom date range. For future absences, use custom date selection (no predefined filter).

Time format: Choose how durations display (for example, H,MM or H:MM).

No rounding is available for "Employee time sheets".

 

Employee Timesheets – Exported Data (Excel)

When exporting employee timesheets, the resulting Excel file consists of the following sections.

1. Employee overview
The employee overview contains the name of the employee.

2. Employee details
The employee details section includes employee ID, company, extra time at start, changes, and extra time at end.

3. Report details
The report details include timeframe, month and year, and calendar weeks.

4. Report body
The main body of the report consists of the following columns: date, day, start, end, type, break, planned hours, actual hours, extra hours, and working time. The rows are reserved for dates and summary entries.

5. Employee tabs
Each employee selected for the report is exported into a separate Excel sheet containing all corresponding information.
 


 

CrewCenter standard export template

Data consolidation options:

For CrewCenter standard export, select grouping options under "show results": 

  • For each employee

  • For Each project

  • For each day

Selecting these options will enable additional selection criteria for time types and data fields.
Multiple groupings are permitted and at least one export field type must be selected.

Available export time types and fields

Show Results: For Each Employee, For Each Project, For Each Day

Include Time Types: Total Work Time, Attendance, Normal Work, Break, Absence, Special Time Types, Overtime Data (Including Modifications), Manual Overtime Modifications, Cost Codes

Other Data Fields: Start and End Time, Start and End Date, Day of the Week, Employee Company, Employee Role, Assigned Supervisor, Project ID, Project Status, Project Location, Comments, Record Category, Attendance Code, Absence Code, Duration and Type of Attendances Only, Duration of Absences Only

Rounding: Choose between no rounding, quarter hour, half hour, or full hour. 
This does not alter stored data.
 

 

Tip: Enable time range to show a specific work period.

The fields in the exported Excel sheet will correspond to the selections made in the export menu:
 



Exports in H:MM format with comma separators will display both positive and negative values immediately:


However, exporting in H:MM formats may result in hidden values in Excel:

Export for ERP Integration

BRZ export template: 
  • Use when importing CrewCenter data into the BRZ ERP system.
  • Note: Do not modify BRZ files before import.

MOS’aik export: 

  • Ensure external tenant ID is set and cost centers/project data match MOS’aik requirements. Output is a tab-separated UTF-8 text file with fixed columns.

Raw data export (CSV) template

  • Produces a ZIP archive with CSVs for work logs, absences, employees, projects, and cost codes/special conditions.

  • Data contains exact, unrounded time entries as recorded.

Save Export Preferences

CrewCenter remembers your export settings for each template. This includes preferences such as:

  • Time formats
  • Rounding options
  • Selected data fields
  • Other export configuration choices

When you export data again using the same template, the export dialog will automatically load your previous settings. This reduces manual input and speeds up repeated exports.

Note: Each export template stores only one saved preference set per template.

 

Tips for Choosing the Right Export

  • Use CrewCenter standard export for flexible summaries.

  • Use Employee time sheets for payroll-style monthly reports.

  • Use BRZ or MOS’aik only if your ERP team imports these formats.

  • Use Raw data only (CSV) for integrations or data analysis.

Troubleshooting Exports

  • If export takes a long time: Reduce the number of employees or shorten the date range.

  • If export fails or does not download: Check your connection, refresh the page, or try fewer employees or a shorter period.

  • If data is missing: Confirm the date range, employee selection, and verify time types and ERP configuration settings.

  • Only CSV files in UTF-8 encoding are supported for import; only ";" is supported as column separator.
