How to Create and Manage Public Holidays

The Public Holidays feature in CrewCenter allows Administrators to create and manage company calendars to ensure accurate time tracking and surcharge calculations. By defining these calendars, you can automatically highlight holidays in timesheets and assign specific holiday schedules to different groups of employees.

Note: This feature is currently available on the Web interface only. 

 

Create a Company Calendar

Administrators can create multiple calendars to accommodate different regions or office locations.

 

 

  1. Navigate to the Settings menu in the Web app.
  2. Select Public Holidays from the sidebar.
  3. Click the Add Calendar button.

     

 

  1. Enter a descriptive Name for the calendar (e.g., "Germany Public Holidays 2025").
  2. Toggle the Default switch if you want this calendar to be automatically assigned to all new employees.
  3. Decide if the calendar should affects expected working time.
  4. Click Save to create the calendar.

Note: If “Affects expected time” is enabled, public holidays will reduce the expected time to zero. Even if the working schedule shows, for example, 8 working hours for that day, any entered time will be treated by the system as overtime. See more: Manage Holiday Settings and Overrides

 

How to import Public Holidays

Once a calendar is created, you must define the specific holidays for each year. You can do this manually or use the automated import tool.

 

To upload Public Holidays automatically:

  1. Go to Settings. 
  2. Open the Public Holidays tab. 
  3. Select the calendar from the list. 
  4. Click Import Data. 
  5. Choose the country and region from the dropdown lists. 
  6. Specify one or more years for which the calendar should be available. 
  7. Click Confirm.

 

How to add Public Holidays manually

To add Public Holidays manually:

  1. Go to Settings. 
  2. Open the Public Holidays tab. 
  3. Select the calendar from the list. 
  4. Press Add year button to add the year calendar will be available
  5. Select the date of the holiday and provide the name
  6. The comment is optional
  7. Specify one or more years for which the calendar should be available. 
  8. Click Confirm.

 

How to Remove a Public Holiday 

 

To remove the specific day(s) form the Public Holidays calendar:

  1. Go to Settings. 
  2. Open the Public Holidays tab. 
  3. Open the calendar from which you want to delete a public holiday. 
  4. Click the bin icon next to the holiday you want to remove. 
  5. Click Update to save your changes.

Note: There is no confirmation pop-up. Once the bin icon is clicked, the date is deleted immediately.

 

To remove the Public Holiday calendar

 

To remove the calendar:

  1. Go to Settings. 
  2. Open the Public Holidays tab. 
  3. Select the calendar you want to delete, then click the three dots on the right side. 
  4. Click Delete. 
  5. Confirm the action in the pop-up window.

 

Assign Employees to a Calendar

To ensure the correct holidays appear on the right timesheets, you must link employees to their respective calendars.

 

 

  1. Open the desired calendar in the Public Holidays settings.
  2. Navigate to the Employees tab or section.
  3. Select the employees you wish to assign to this specific holiday schedule.
  4. Click Assign or Save.

Note: When importing new employees via the employee import function, the Default calendar is assigned automatically.

 

Manage Holiday Settings and Overrides

You can control how the system treats working hours on a public holiday to ensure payroll and extra time are calculated correctly.

  1. Go to Settings → Public Holidays.
  2. Select the appropriate calendar from the list (if multiple calendars are available).
  3. Click the three dots and select Edit.
  4. Enable the “Affects expected time” option to set the expected working time to 0 hours on public holidays.
  5. Click Update to save the changes.

Notes:

  • This setting ensures that any work performed on a holiday is flagged as extra time or surcharges.
  • In the Timesheets, holidays are highlighted; you can hover over the day to see the holiday name.

     

     

  • If a user attempts to add a time entry on a highlighted holiday, a warning message will appear on the Web app to confirm the action.
