How Do I Check the Hours Worked by a Specific Employee?

This article explains how to track and verify the hours worked by specific employees and identify the projects they were assigned to. 

Employee Hours and Project Tracking Methods

Roles: Admin, Supervisor | Interface: Web

Administrators and Supervisors can verify employee work hours and project allocations through several interfaces on the Web platform:

  • Access the Project Dashboard to see a breakdown of hours by employee for a specific project. 
  • Use the Timesheet tab to view individual timecards, which include the project name and location.
  • Generate a Standard Export or Employee Timesheet to review historical data in Excel format.
  • Review the Construction Diary for daily site-specific workforce logs.

Project Dashboard Overview

Roles: Admin | Interface: Web

The Project Dashboard provides a visual and data-driven summary of work performed on a specific site.
 

  • Employees Widget: This widget lists all employees who have logged time to the project. It shows the total hours per employee, excluding any time types marked as "Excluded" (non-payable time).

  • Planned vs. Actual: You can compare the actual hours logged by the crew against the planned hours defined in the project settings.

  • Filtering: While the dashboard provides a total project view based on start and end dates, you can use the date filter to narrow down specific timeframes.

Timesheet and Export Details

Roles: Admin, Supervisor | Interface: Web

For detailed auditing and payroll, the Timesheet and Export features provide the most granular data.

The Supervisor is authorized to view the timesheet, whereas the Administrator has the permissions to both view and export the data.

  • Timesheet View: The Web interface allows you to filter by employee or crew. Each timecard entry explicitly states the Project Name associated with the work.

  • Employee Timesheet Export: This export splits timecard entries by project. It includes the Project Name and Project Location (formatted address) for every entry, providing a clear breakdown of where hours were spent.

  • Project Filter for Exports: When generating a Standard Export, you can apply a Project Filter to isolate data for one specific site rather than the entire company.

Construction Diary Records

Roles: Admin | Interface: Web

The Construction Diary serves as the daily record of truth for site activities.

  • Workforce Data: Employee work hours and breaks are automatically retrieved from recorded timecards and displayed in the diary.

  • Site Documentation: The diary confirms which employees were physically present and submitted timecards for that specific project and date.

  • Excluded Time: If enabled, non-payable hours appear with an "Excluded" label, ensuring they are documented for compliance but not added to payable totals.

  1. Go to Daily Reports.
  2. Select the project and date.
  3. Choose the appropriate template (if applicable).

To view historical Construction Diary data on mobile, follow these steps:

  1. Open the Profile Menu.
  2. Select Daily Reports.
  3. Choose the relevant Project.
  4. Select the required Date.
  5. Review the available data, including Employees, Time Types, Cost Codes, and Comments.
