Using CrewCenter Mobile When You Have No or Poor Network Connection

Overview

This guide explains how CrewCenter Mobile works when your device is offline or experiencing poor connectivity. It covers what you can do without internet, how data syncs once you reconnect, and important limitations—especially regarding token expiration, offline data loss, and conflicts.
 

Time Tracking in Offline Mode

You can continue using LIVE tracking (the standard start–stop method) even when you are offline. While offline, you can:
  • Clock in and clock out
  • Add breaks
  • Add comments or special conditions
  • Select cost codes

All actions are saved locally and sync automatically when your device reconnects.

Note: Post tracking (entering time for previous days) is not available offline.
 

When Sync Might Fail

Sync can fail if:
  • Your workday was approved or locked while you were offline
  • Another person started a LIVE tracking session for you
If your connection returns during a running shift, CrewCenter syncs your active timer automatically.
 

Token Validity and Offline Data Loss

How Login Works Offline

  • When you log in online, CrewCenter downloads a secure access token to your device.
  • This token stays valid for up to 7 days after your last successful login.
  • As long as the token is valid, you can continue using CrewCenter offline.
Important:
If you stay offline for more than 7 days, the token expires and you must reconnect and log in again.
 

What Happens if Your Token Expires or You Change Login

  • If your token expires offline, actions requiring authentication will be blocked.
  • All unsynced offline data is deleted as soon as you log in again.
  • Logging in with different credentials also deletes all local data.
  • CrewCenter does not support local profiles—offline data always belongs to the currently logged‑in session.
     

What Happens to Your Offline Work

  • Offline actions (clocking in/out, breaks, cost codes, comments) are stored in a local queue.
  • Once online, the app uploads the queued actions using your stored token.
  • If the token expired while you were offline, CrewCenter requires login before syncing—and all unsynced data is lost.
     

If There Are Conflicts

Conflicts occur when your time entries were changed by someone else while you were offline.
When reconnecting:
  • CrewCenter will prompt you if conflicts exist.
  • The backend always overrides local data.
  • Conflicting offline entries are discarded.
     

Data Security on Your Device

  • Your token is stored securely and cannot be accessed by other apps.
  • Sensitive time tracking data is encrypted on your device.
  • Logging out or removing your token deletes all locally stored data.
     

Important Notes and Limitations

Warning Banners

If CrewCenter detects poor or no connectivity, it displays an Offline banner.
When offline, you cannot save new operations that require a server request.
 

Midnight Behavior

If you remain clocked in past midnight, CrewCenter will clock you out automatically once you reconnect.
 

Deviations

Deviations from planned schedules are not shown on mobile.
 

Crew Tab and Timesheet Sync

While offline, you only see the last version loaded while you were online.
 

iOS Feedback

iOS devices may show more detailed sync indicators, but some success messages may not appear reliably.
 

Best Practices

  • Check your signal before entering or editing past‑day time.
  • Be online when using post tracking.
  • After reconnecting, allow a few seconds for sync, then refresh your timesheet.
  • If you saw an offline warning, try again once connected.
  • Supervisors operating in remote areas should rely on LIVE tracking.
     

Troubleshooting

You See an “Offline” Banner but You Have Signal

A mobile signal does not always equal internet access.
Try opening a website to confirm.
 

Live Tracking Doesn’t Show on Web Immediately

Use pull‑to‑refresh on your phone or reload your Timesheets page.
 

Post Tracking Doesn’t Save

This is expected—post tracking requires an active internet connection.
 

You Clocked In but No Timecard Appears

If you saw an offline warning, the action did not reach the server.
Clock in again once connected.
 

Known Issue

Some users may appear offline on mobile data even with good signal.
This is a device compatibility issue.
 
Tip: Switch to Wi‑Fi or check your network settings. If the problem continues, contact Support.
