Time Tracking in POST Mode & Bulk Operations

Overview

Time tracking in POST Mode allows users to add, edit or delete time entries after work has been completed. This ensures accurate timesheets when hours were not recorded in real time.

Timesheets support the following actions: Add, Edit, Delete, Approve, Lock.

Note: Approved or locked entries may restrict further changes.

Bulk operations in CrewCenter complement POST Mode by enabling users to manage multiple employees, days and entries at once, saving time and reducing manual work.

 

POST Mode basics and permissions

Roles: Admin, Supervisor, Employee | Interface: Mobile, Web

 

The available time tracking actions depend on the role:

  • Employees create time entries for themselves in Live and Post mode.
  • Supervisors create time entries for themselves and their crew in Live and Post mode.
  • Admins create time entries for everybody in Live and Post mode.

 

How to add or edit time entries as an Employee

Roles: Employee | Interface: Mobile

 

Employee can add or edit time entry on the mobile for the current and past days.

 

 

Use the Timesheets tab to manage time entries for a selected day:

  1. Open the Timesheets tab on mobile.
  2. Select the day you want to update.
  3. Edit an existing time entry using the edit option or add a new entry using the add option for the selected day. Click on "Clock-In" and set the hour and minutes by scrolling up or down. Then, click on "Clock-Out" and select the hours and minutes in the same way.

Note: Time entries exist within a day. If a time entry crosses midnight, it must be split into multiple time entries.

 

How to add or edit time entries for others as an Admin or Supervisor

Roles: Admin, Supervisor | Interface: Mobile

 

Supervisors and Admins can manage time entries for their crew (Supervisor) or everyone (Admin). 

 

 

  1. Open the Crew tab. 
  2. Select the employee whose time entries you want to manage. 
  3. Create or update a crew work period to add or edit a crew member’s time entry.
  4. Click Add time entry. Click on "Clock-In" and set the hour and minutes by scrolling up or down. Then, click on "Clock-Out" and select the hours and minutes in the same way.
     

How to add time entries for a crew in bulk 

Roles: Admin, Supervisor | Interface: Mobile

 

Bulk crew operations can create time entries for multiple employees at once. When conflicts arise, behavior depends on whether overrides are allowed and if Supervisor/Admin confirms the override.

 

 

  1. Open the Crew tab.
  2. Select the employees you want to add time entries for.
  3. Add the time entry details.
  4. Click Add time entry. Click on "Clock-In" and set the hour and minutes by scrolling up or down. Then, click on "Clock-Out" and select the hours and minutes in the same way.

If there are conflicts, user will see the pop up about the time entry conflict:

 

User can choose to continue editing or proceed, overriding the previously entered work period.


If one or more timesheets were locked or already approved user sees similar pop-up:

User can skip or proceed, overriding the previous work period unless it is approved or locked.

 

Time entries in POST Mode 

Roles: Admin, Supervisor | Interface: Web

 

The Web interface supports timesheet management and time entry operations. Timesheets functionality includes the ability to add, edit, delete, approve and lock entries for one or more employees.

  • Add – create a new time entry
  • Edit – modify an existing time entry 
  • Delete – remove an existing time entry 
  • Approve – approve the timecard 
  • Lock – lock the timecard for one or more employees to prevent editing

     

How to add/edit time entries in POST Mode

Roles: Admin, Supervisor | Interface: Web 

 

 

To add the time entry in the post mode:

  1. Open Timesheets
  2. Select the employee by ticking the box next to their name.
  3. Click Add Time Entry.
  4. Choose the required day(s) from the calendar in the side panel.
  5. Select the project, then enter the clock-in and clock-out times, add new one or change the existing one.
  6. Click Report to submit.

Note: Selection is limited to the current month view; navigating to a different month will clear the selection.

 

How to manage time entries in POST Mode on WEB in bulk

Roles: Admin, Supervisor | Interface: Web

 

Admins and supervisors can bulk manage time entries in Post Mode on the web to save time and ensure consistent entries for all selected employees.

 

 

To add the time entry in the post mode in bulk:

  1. Open Timesheets
  2. Select employees by ticking the box next to their name.
  3. Click Add Time Entry.
  4. Choose the required day(s) from the calendar in the side panel. 
  5. Select the project, then enter the clock-in and clock-out times.
  6. Click "Report" button to submit.

Note: Selection is limited to the current month view; navigating to a different month will clear the selection.

 

How to delete time entries in POST Mode 

Roles: Admin, Supervisor | Interface: Web

 

An Admin or Supervisor has the ability to select an entire week and clear the data for one or more employees, provided that the timesheets have not been locked or approved. 

 

 

To perform this action:

  1. Open Timesheets
  2. Select the employee (employees) by ticking the box next to their name.
  3. Click "Clear" on the top bar.
  4. Tick "Clear time reports" on the pop- up which display and confirm the Clear action.

 

If the timesheet was approved already click selected employees and hit "Revoke approval" on the top bar. Then perform the clear option.

 

 

How to delete time entries on mobile

Roles: Admin, Supervisor | Interface: Mobile

 

Admins and Supervisors are also authorized to delete time entries via the mobile application, but this can only be performed for a single employee. The bulk delete option is not available on mobile.
 
 
To do it:
  1. Go to Timesheets
  2. Select an employee
  3. Open the timesheet for a specific day
  4. Click the three dots (menu)
  5. Select Delete
  6. Confirm the action

 

How to lock time entries in POST Mode

Roles: Admin, Supervisor | Interface: Web 

Admins can lock time entries and absences using the Web App. Locking prevents further edits or deletions until the entry is unlocked.

  1. Go to Timesheets
  2. Hit Lock/Unlock
  3. Select All or one employee
  4. Select the Time period (last week, current month or custom)
  5. Set the status to lock/unlock timesheets.
  6. Press Proceed.

     

Note: Current day can not be locked.

 

How to approve time entries in POST Mode in bulk

Roles: Admin, Supervisor | Interface: Web

 

  1. Open Timesheets
  2. Select one or more employees
  3. Click Approve

The second option, to approve one timecard is:

  1. Go to timesheets
  2. Open the timesheets for selected employee for one specific day
  3. Toggle Approve button On.

 

How to approve time entries in POST Mode in bulk on mobile

Roles: Admin, Supervisor | Interface: Mobile

 

  1. Tap the Timesheets tab at the bottom right.
  2. Select the week 
  3. Select the whole crew or individual team members.
  4. Tap Approve for workers to approve entries for all selected employees.
