Approval of Time Entries and Absences, Locking and Partial Approval in CrewCenter

This article provides an overview of the key workflows for managing employee timesheets in CrewCenter. It explains how administrators and supervisors can approve recorded time and absences to ensure payroll accuracy, as well as how administrators can lock timesheets to prevent any further edits after processing.

 

Approving Time Entries and Absences

Roles: Admin, Supervisor | Interface: Mobile, Web

Admins and Supervisors can approve time entries and absences for employees on both Mobile and Web platforms.

 

Approving on the Mobile App

Approve for One Employee:

  1. Tap the Timesheets tab at the bottom right.

  2. Select the employee and then the specific day.

  3. Activate the Approved toggle to approve the day.

 

Approve for Multiple Employees:

  1. Tap the Timesheets tab at the bottom right.

  2. Select the week 

  3. Select the whole crew or individual team members.

  4. Tap Approve for workers to approve entries or absences for all selected employees.

 

Approving on the Web App

Approve for One Employee:

  1. Go to the Timesheets tab on the left.

  2. Select the week to review.

  3. Hover over a time entry and click the green check mark to approve.

  4. Alternatively, open the day overview and activate the Approve toggle.

     

 

Approve for Multiple Employees:

  1. Go to the Timesheets tab on the left.

  2. Click the green check mark in the table header to approve all existing time entries or absences for the selected date.

     

 

Notes:

  • Only employees with existing time entries or absences can be selected for approval.

  • The approval process applies to both time entries and absences.

  • Approved entries cannot be edited or deleted. Retract approval to make changes. 

     

Partial Approval of Timesheets

Roles: Admin, Supervisor | Interface: Mobile

CrewCenter displays approval status using icons, making it easy to identify partially approved timesheets. 

 

 

Approval Icons:

  • Green check mark: All timecards for that day or worker are approved.

     

     

  • Grey check mark: Some timecards for te selected week are approved; others need attention (partial approval). 

     

     

  • No check mark: No timecards are approved yet.

     

     

How to Check Partial Approval (Mobile):

  1. Open the CrewCenter app and go to the Timesheet tab.

  2. In the Employees tab, review the approval icons next to each employee:

    • Grey check mark: Some timecards are approved (partial approval). Tap to see which are pending.

    • Green check mark: All timecards for the worker are approved.

    • No check mark: None of the timecards are approved.

       

       

  3. You can also check partial approval from the Week tab:

    • Grey check mark next to a day: Some timecards are left to approve for that week.

    • Green check mark: All timecards are approved for the day.

    • No check mark: No approvals have been made yet.

       

 

Note: If all timecards for an employee are approved, all days will show green check marks. Missing green check marks indicate pending approvals.

 

Locking Time Entries and Absences

Roles: Admin | Interface: Web

Admins can lock time entries and absences using the Web App. Locking prevents further edits or deletions until the entry is unlocked.

Steps for Admins:

  1. Go to the Timesheets tab on the left side of the screen.

  2. Select the week you want to review.

  3. Open a specific time entry or absence.

  4. Activate the Lock toggle to lock the entry. Deactivate the toggle to unlock.

     

 

Notes:

  • Locking applies to both time entries and absences.

  • Locked entries cannot be edited or deleted. Unlock to make changes.
