Introduction to Timesheets on Web

Administrators and Supervisors can use the Timesheets tab on the web platform to monitor crew attendance, record time for themselves and others, enter absences and approve, edit, lock, or delete entries. All work periods and absences are displayed in a single, actionable list view, with filters and the ability to perform actions - such as approving, locking, or deleting - directly from the grid.

 

Actions on the Week and Absence View for the single entry

 

When a user clicks the three dots on the right side of a row, a menu appears with the following options: Approve day, Edit, Lock, History, and Delete. These actions are available for each entry in both the Week View and Absence view.

 

  • Approve day – approve or revoke approval of the entry
  • Edit – update the entry
  • Lock – prevent further changes
  • History – view the entry history
  • Delete – remove the entry

 

How to manage actions in the Week view on the Timesheet tab

 

 

In the Week view, Supervisors and Administrators can see employees’ timesheets for the entire week. Using the date selector in the top‑right corner, they can choose which week they want to review. From here, they can check the details of any specific day by clicking on that day for a selected employee.

Within this weekly view, they can also approve time entries - either individually or in bulk - add work time or absences in bulk and lock or unlock selected days for one or multiple employees. There is also an option to export the timesheet by setting a time frame (last week, monthly, or custom) and selecting the appropriate record types and fields.

On the Work tab, Administrators and Supervisors can view the timesheets for the entire team. They can set the time range to a specific day, week, month, or a custom period. At the top, they can search for a specific employee, select one or multiple employees and choose one or multiple projects.

The date range:

 

 

By clicking on Filters, they can further refine the view by: Reports To, Company, Mode (Live/Post/Not defined), Source (Android/Web/Not defined), Created By, Cost Codes, Custom Time Types, Costs and Quantities, Approval Status (All, Approved, Pending), App Access (All, Yes, No) and Role (Admin, Supervisor, or Employee).

 

 

Note: The list is initially filtered to show “Pending” items, which serves as your “Inbox” for new timecards that require verification and approval.

 

 

On the Work Timesheet view, users can approve a day, edit entries, lock them, check the history and delete entries. To do it user need to click on the three dots on the selected employee line to open the menu and select the chosen option. 

 

How to export the list in the Work View on the Timesheet Tab

 

 

By clicking the download icon, the user can download the list of visible entries in CSV format. This file is saved to the local machine and includes all the following columns: Date, Employee, Work, Start, End, Break, Status, Mode, Project, Cost Codes, Costs & Quantities, Custom Types of Time, Comment, Created By, Supervisor When Created, Created At, Last Updated At.

Note: The export file will include only the fields that are currently visible. To modify this, please adjust the filters accordingly.

On the Absence tab, Administrators and Supervisors can view absences for the entire team. They can set the time range to a specific day, week, month or a custom period. At the top, they can search for a specific employee, select one or multiple employees, and choose one or multiple projects.

By clicking on Filters, they can further refine the view by: Reports To, Company, Source (Android/Web/Not defined), Created By, Supervisor when created, approved status (All/Approved/Pending), app access, role)
